Field Service Administrator

Position Overview:
Position supports Field Service Manager in all areas concerning execution of all field service contracts/sales orders.  The position requires coordination and communication among cross-functional lead staff members in order to professionally execute customer sales orders.  Provides administrative and clerical support to relieve department managers or staff of administrative details. 
 
Duties and Responsibilities:
  • Maintaining / Filing (job and safety documentation, staff training records, etc)
  • Issue purchase requisitions for Field Service job execution
  • Maintain job schedule while coordinating with other offices in the organization
  • Organize transport of field service trailers, tool boxes, etc
  • Arrange travel; flights, accommodation and rental cars for field service staff
  • Maintain time sheets for field service staff on weekly basis
  • Review all incoming vendor invoices for correctness, etc.
  • Generate and maintain expense reports for field service and assist commercial department with invoicing information
  • Manage P-Card program for field service staff
 
Desired Education:
  • Bachelor’s degree in Business Administration, Management, Accounting or Finance
 
Desired Experience:
  • 3+ years of work experience in business administration or project management preferred
 
Additional Qualifications:
  • Excellent oral and written communication skills
  • Exceptional interpersonal skills, good organizational skills and strong attention to detail
  • Knowledge and ability to translate data into accurate financial and management reports
  • Flexibility to perform a variety of detailed functions and meet established deadlines
  • Strong computer, analytical, organizational, and problem solving skills, SAP skills preferred
  • Proficient in MS office with expertise in Excel, Word and Access; CRM skills a plus
